Job Purpose
The Girls Hostel Warden will be responsible for the overall administration, discipline, safety, security, welfare and day-to-day operations of the Girls Hostel. The Warden will ensure a safe, hygienic, disciplined and supportive residential environment for all students and coordinate effectively with the College Administration, parents, security, housekeeping, maintenance and mess teams.
Key Responsibilities
1. Hostel Administration
- Manage the day-to-day functioning of the Girls Hostel.
- Maintain student room allotment, occupancy and related records.
- Maintain hostel registers, attendance records, movement registers and visitor records.
- Monitor student entry and exit as per approved hostel timings.
- Process leave, outing and permission requests as per College rules.
- Conduct regular hostel inspections and submit reports to the management.
- Ensure proper handover/takeover of hostel responsibilities during shifts or leave.
2. Student Discipline & Conduct
- Ensure strict adherence to hostel rules, regulations and College policies.
- Monitor student behaviour and maintain discipline and decorum within the hostel.
- Address cases of indiscipline, misconduct, unauthorized absence and rule violations.
- Escalate serious disciplinary matters to the appropriate College authority.
- Ensure a ragging-free and harassment-free hostel environment.
- Maintain confidentiality while handling student-related matters.
3. Student Welfare & Counselling
- Act as the first point of contact for students regarding hostel-related concerns.
- Listen to and address student grievances appropriately.
- Provide basic guidance and emotional support to students when required.
- Identify students requiring additional support and escalate the matter to the concerned authority/counsellor.
- Maintain a positive, respectful and supportive relationship with students.
- Ensure the general health, hygiene and well-being of hostel residents.
4. Safety & Security
- Ensure the safety and security of all students residing in the hostel.
- Monitor hostel access and ensure that unauthorized persons do not enter the premises.
- Coordinate with Security personnel for effective access control.
- Conduct regular rounds and inspections, including during designated night hours.
- Immediately report security incidents, emergencies or serious violations to the management.
- Ensure compliance with fire safety, emergency and other campus safety procedures.
5. Emergency & Medical Support
- Respond promptly to medical, safety and other emergencies involving students.
- Arrange first aid and medical assistance whenever required.
- Coordinate transportation/hospitalization of students in case of serious illness or injury.
- Inform the concerned College authority and parents/guardians as per procedure.
- Maintain proper records of medical and emergency incidents.
6. Mess & Food Quality
- Monitor the quality, quantity, hygiene and timely serving of food.
- Coordinate with the Mess/Canteen Supervisor regarding student requirements.
- Conduct regular inspections of the kitchen, dining area and food-serving facilities.
- Record and escalate complaints relating to food quality, hygiene or service.
- Ensure cleanliness and proper hygiene practices in the dining and kitchen areas.
7. Housekeeping & Maintenance
- Supervise housekeeping and sanitation activities within the hostel.
- Ensure cleanliness of rooms, bathrooms, corridors, common areas and surroundings.
- Monitor the attendance and performance of housekeeping/support staff.
- Report maintenance requirements related to electrical, plumbing, furniture, water supply and other facilities.
- Follow up with the concerned departments until issues are resolved.
- Ensure proper care and maintenance of hostel property and assets.
8. Parent & Student Communication
- Communicate with parents/guardians regarding student attendance, leave, health, discipline or emergencies when required.
- Maintain professional communication with students and parents.
- Coordinate with academic departments regarding student-related concerns.
- Ensure timely communication of important hostel instructions and announcements.
9. Records & Reporting
- Maintain accurate hostel records and registers.
- Prepare daily/weekly/monthly hostel reports as required.
- Maintain records of:
- Student attendance
- Outing and leave
- Visitors
- Room allotment
- Discipline/incident reports
- Medical/emergency cases
- Maintenance complaints
- Housekeeping and security attendance
- Submit reports to the reporting authority within the prescribed timeline.
10. Student Activities & Hostel Environment
- Encourage students to maintain a healthy and positive hostel environment.
- Support hostel activities, celebrations, awareness programmes and student engagement initiatives.
- Encourage cleanliness, discipline, teamwork and responsible behaviour among residents.
- Assist the College in implementing student welfare and safety programmes.
Eligibility
Educational Qualification:
- Any Graduate from a recognized university.
- Additional qualification in Hostel Management / Administration / Social Work will be an advantage.
Experience:
- Minimum 2–3 years of relevant experience in hostel administration, student affairs, residential campus management or educational institutions preferred.
- Experience in managing a Girls Hostel will be an added advantage.

- Fluency in Tamil and English preferred.

Working Conditions
- Full-time residential hostel role.
- The Warden may be required to be available during extended hours, weekends and holidays based on hostel requirements.
- Must be willing to stay on campus / hostel premises, if accommodation is provided as part of the role.
- Night rounds and emergency availability may be required as per hostel duty schedule.
