The Office Admin for our Construction Company will be responsible for managing the day-to-day operations of the office, ensuring the smooth running of administrative tasks, and providing support to the management team. The ideal candidate will have strong organizational skills, excellent communication and interpersonal skills, and be able to multitask in a fast-paced environment.
- Oversee daily administrative tasks, such as answering phone calls, responding to emails, and managing office supplies.
- Maintain and update company records, files, and databases, including employee records, financial records, and project files.
- Manage scheduling and coordination of appointments and meetings for the management team.
- Assist with the preparation of reports, presentations, and other documentation as needed.
- Support HR activities, including recruitment, onboarding, and performance management.
- Monitor and maintain office equipment and supplies, and liaise with vendors for repairs and replacements.
- Act as a point of contact for clients, suppliers, and vendors, and assist with project coordination as needed.
- Ensure compliance with company policies, procedures, and regulations.
- Maintain a safe and clean working environment in the office.
Qualifications and Requirements:
- High school diploma or equivalent required, Associate’s or Bachelor’s degree in Business Administration, Management, or related field preferred.
- Proven experience as an office administrator or in a similar administrative role, preferably in a construction or related industry.
- Strong organizational and multitasking skills with the ability to prioritize tasks.
- Excellent communication and interpersonal skills, both written and verbal.
- Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Experience with project management software and accounting software is a plus.
- Knowledge of human resources practices and procedures.
- Ability to work independently and as part of a team.
- Must be detail-oriented and able to work in a fast-paced environment.
